By the kind of event
Layer these on top of the essentials depending on what you’re hosting:
- Kids’ birthday — a bounce house or inflatable, yard games, and a concessions machine (popcorn, cotton candy, or a snow-cone maker).
- Wedding or formal event — upgraded seating (Chiavari chairs), quality linens, a dance floor, staging, lighting, and often a larger tent.
- Corporate or community event — staging and a podium, a PA/AV setup, extra tables for registration and food, and plenty of trash and recycling stations.
- Backyard gathering — a canopy for shade, a few folding tables, and games keep it simple.
The extras hosts forget
- Trash cans and liners — venues rarely supply enough for a crowd.
- Extension cords and a generator for anything that plugs in away from the house.
- Weights or stakes for tents, signs, and anything the wind can catch.
- A backup plan for weather — sidewalls for a tent, or a fan/heater for temperature.
- Serving gear — beverage dispensers, coolers, chafing dishes, and a folding table for the caterer.
- Restrooms — a portable unit for large outdoor events far from a building.
A simple timeline
Book the big, limited items first — tents, premium chairs, and specialty inflatables sell out earliest for peak weekends. Aim to reserve those 4–8 weeks out (longer for weddings in season). Confirm final counts and delivery windows about a week ahead, and walk your space to mark where each item goes so setup is quick.
