Rental planning tips
General guidance for planning a rental like this — from the PartyRents editorial team, not specific to any one company.
As a rough guide, allow about 8 sq ft per guest for rows of seating, 10–12 for banquet tables, and more once you add a dance floor, bar, or buffet. Share your headcount and plan so the vendor can size it correctly.
Tents are staked into grass or weighted on hard surfaces. Larger frame and pole tents may require permits or utility line marking, so confirm the install method for your specific site.
Big tents often go up the day before an event. Ask about the delivery and takedown window so it lines up with your venue access and other vendors.
Order to your confirmed guest count plus a small buffer for walk-ins and gift or food tables. A common mix is 8 guests per 60-inch round or per 8-ft banquet table.
Some rentals include drop-off and pickup; others are customer-pickup only. Clarify whether stacking, placement, and return staging are included so there are no surprises on event day.
Lighting and sound gear needs accessible outlets or a generator, plus a safe cable run. Walk the space ahead of time to spot where power and speakers should go.

For popular dates — spring and summer weekends, holidays, and graduation season — booking a few weeks to a couple of months ahead is wise, since inventory is limited. Last-minute rentals are sometimes possible but limit your selection.
Many inflatables can go indoors if the ceiling is high enough and the doorways allow the unit through — indoor setup also sidesteps weather concerns. Share your ceiling height and entry access with the vendor so they can recommend a unit that fits.
A standard bounce house typically needs about a 15×15 ft flat area, plus clearance on the sides and overhead. Water slides and obstacle courses need considerably more — measure your space and share it when you book.
Tent size depends on guest count and layout: roughly 8 sq ft per person for rows of seating and 10–12 for banquet tables, plus extra for a dance floor, bar, or buffet. Give the vendor your headcount and plan so they can size it correctly.
Reputable operators monitor conditions and will pause, reschedule, or take down equipment in high wind or storms for safety. Ask about the weather, deposit, and cancellation policy in writing before you pay so there are no surprises.
Many party rental companies take a deposit to hold your date, with the balance due before or on delivery. Deposit amounts and refund terms vary by company — confirm them up front as part of your booking.
