3 Oakland rental companies carry equipment commonly used for festivals & fairs. Festivals and fairs run on large-format gear: multiple tents, staging and sound, concessions, games, and enough seating for a public crowd.
General guidance for planning a rental like this — from the PartyRents editorial team, not specific to any one company.
Concession and warming equipment can draw significant power — confirm the circuit or generator can handle it, and match machine output to your guest count.
As a rough guide, allow about 8 sq ft per guest for rows of seating, 10–12 for banquet tables, and more once you add a dance floor, bar, or buffet. Share your headcount and plan so the vendor can size it correctly.
Tents are staked into grass or weighted on hard surfaces. Larger frame and pole tents may require permits or utility line marking, so confirm the install method for your specific site.
Big tents often go up the day before an event. Ask about the delivery and takedown window so it lines up with your venue access and other vendors.
Staging and dance floors install best on level, stable surfaces. Flag any slope or soft ground so the vendor can plan leveling and keep the setup safe.
Popular dates — spring and summer weekends, holidays, and graduation season — fill weeks or months out. Reserving early gives you the best selection and pricing; last-minute is possible but limits your options.
